Engaging with Nexia NZ remotely

April 23, 2020

In these rapidly changing times, the focus at Nexia New Zealand has not changed. We are committed to ensuring the delivery of quality services to our clients. We have invested in secure technology which allows us to continue to provide our clients with the advice and support required to navigate through the myriad of challenges COVID-19 presents.

Virtual meetings with your Nexia advisor
At Nexia New Zealand we are currently using Microsoft Teams as our preferred method of communication. The Teams platform enables easy collaboration with multiple participants in multiple locations, with the option of an audio or video call.

You will be sent a calendar invitation from us to a virtual meeting through the Microsoft Teams platform. Within the calendar appointment you will see that we have added a “Join Microsoft Teams Meeting” link to the email. When it’s time to attend the meeting, simply open the meeting invite in your calendar and click on the link.

If you already have Microsoft Teams installed on your device, the meeting will open automatically when you click on the link.

If you do not have Teams installed, you will be given the option to either join via your browser as a guest, or download a complimentary version of the Microsoft Teams application.

Sometimes it may be easier to join using a smart phone as it has camera and microphone capabilities. To join the meeting using your smart phone, simply click on ‘Join Microsoft Teams Meeting’. If you do not have Teams installed on your smart phone your browser will open, and it will direct you to download the Teams app from the App store.

Once you sign in as a guest, or log on, you will then see a ‘Join Now’ button and options to turn your camera and microphone on or off.

If you are unable to be in a private area or have background distractions during your meeting, we recommend blurring your background. The background blur feature within Teams cleverly blurs the surroundings behind you while leaving you clear and un-blurred. To activate background blur, click on the ellipsis “…” on the call menu and select “Blur my background”.

During your meeting with your Nexia advisor they may wish to show you their screen, to view your accounts etc. A command window will pop up and you can simply press accept. From there, your Nexia advisor controls what you can see on your screen. Your Nexia advisor cannot see your screen unless you also share your screen with them.

If you have trouble connecting to the session on the day or have further questions about how we can assist you, please do not hesitate to contact your Nexia advisor.

Electronic records
Organisations all over the world use the Virtual Cabinet Portal to exchange documents and information quickly and securely with their clients.

We use Virtual Cabinet’s Secure Portal when:

  1. We want to provide you with files, or documents to sign
  2. You want to provide us with working files, statements or other documents

If you would like to know more about using our secure client portal, please do not hesitate to contact your Nexia advisor or click here to read our brochure.

Physical documents/records
Nexia NZ is a largely paperless, which has allowed us to adapt quickly and easily to remote working. This also means that for many clients, they will not see any change to the way we receive and send information.

However, we do understand that electronic records are not for everyone. If you have physical copies of records that you need to get to us, we are still able to arrange this. We have couriers available that can pick up your records and deliver them straight to the accountant that is doing your work.

Please speak to your Nexia advisor if you would like to arrange this.
